What this site keeps about you, why, and for how long

Who we are

This is the site of 77 Eaton Road, Appleton, run by its landlord, who is the controller of anything it keeps about you. You can reach us with the form at the foot of this page, or at admin@3kilnlane.co.uk.

Visiting the site

The pages show local information: the weather, news, buses, trains, bins and what's on. They don't use analytics, advertising or tracking. If you choose Light or Dark in the menu, that choice is kept in a cookie on your device so the site remembers it.

The contact form sends us your name, email address and message by email, so we can reply. Cloudflare's Turnstile checks that a person, not a program, filled it in.

The tenants' page

If you rent the house, the tenants' page shows you your tenancy. For that it keeps:

  • your name and email address, which you use to sign in;
  • the tenancy: the house, the monthly rent, the day it's due, and when the tenancy starts and ends;
  • visits booked at the house, such as safety checks, servicing and inspections;
  • what lets you sign in: a cookie that keeps you signed in, when you last signed in, the public half of any passkey you add, and the secret in your calendar link.

We keep these to run your tenancy, which is part of our contract with you. You don't have to use the page: everything on it also reaches you the usual way.

You see your own tenancy. If you rent jointly, the other tenants on the same tenancy see your name too. Nobody else can sign in to see it. Your calendar link shows only the visits booked at the house, never your name or the rent.

Where it is kept

The site runs on Cloudflare, and its database is held in Cloudflare's Western Europe region. Emails, such as sign-in links and notes about visits, are sent through Resend. Both work for us under data protection terms, and may handle data outside the UK only with the safeguards the law requires.

How long

  • Your account, with your name, email address, passkeys and calendar link, is deleted the day after your tenancy ends. You can't sign in after that.
  • The tenancy itself, its dates and rent, is deleted 30 days after it ends.
  • A sign-in link lasts 15 minutes, or a week if it came with your invitation. Being signed in lasts 30 days from when you last used the page, and never more than 90.
  • Messages from the contact form stay in our email for as long as we need them to answer you.

Your tenancy agreement, and the records the law asks a landlord to keep, are kept separately as they always were, and aren't affected by any of this.

Your rights

You can ask us for a copy of what we hold about you, to correct it, or to delete it, and you can object to how we use it. Ask by email and we'll answer within a month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
